Payments

Payment is required in full at the time of booking, with the exception of credit options such as Klarna, Newpay, Payl8r and PayPal Credit.

Bookings can be made securely via our website. Alternatively you can call 0800 999 2277 to speak with a Course Advisor for guidance on courses or to book via credit / debit card by telephone.

Discount codes, gift vouchers or any credit on file should be applied at time of booking as this cannot be applied retrospectively.

We reserve the right to amend course prices or run promotions at any time, without prior notice. Such promotions will not apply retrospectively to any existing bookings. No price difference can be refunded in the event of a later course price reduction.

All classroom training must be taken within 6 months of booking. Online courses & VTCT qualifications must be completed within 12 months of booking. We cannot offer any refunds, credits or substitute training where a student fails to attend training / complete qualifications within these timescales.

Refunds

All course fees are strictly non-refundable and non-transferable.

In the event a course is cancelled or postponed for reasons beyond our reasonable control, an alternative date will be provided. A code will be provided to rebook training via our website and it is the student’s responsibility to ensure they do so. The Academy is not responsible for any loss of income or accommodation / travel costs incurred in the event that postponement of training courses is necessary.

Statutory ‘cooling off’ for orders via finance

Orders using Klarna / Newpay –  this provides a 14 day statutory cooling off period to cancel your booking / credit which begins from the payment date and expires 14 days later or as soon as any part of the booking is redeemed e.g. attendance of a training date, sending of required patch test / ordered kits or accessing of the online student portal. At least 72 hours’ notice in writing to [email protected] is required prior to a booked training date to notify of non-attendance or it would be considered a no-show and expire the cooling off period as if the course were attended. Reschedules of such training which be subject to a £50 rescheduling fee. When first accessing the online student portal, you check to adhere to terms expiring your cooling off period. You must exercise your cancellation in writing to [email protected] valid only within the cooling off period.

Orders using Payl8r – this provides a 14 day statutory cooling off period to cancel your credit which begins from the payment date. In such time you can cancel your finance agreement directly with Payl8r and repay any amounts due in full directly to Payl8r. This does not imply a right of course cancellation. Courses remain non-refundable. Any course cancellation agreed at our discretion would be applied as credit on file minus a 15% admin fee, to rebook alternative courses within 6 months of your original payment date.

Orders using PayPal Credit – no statutory ‘cooling off’ period is applicable as credit is for an agreed maximum ongoing credit limit and not tied directly to booking for the course(s). If you wish to cancel your PayPal Credit agreement, you would need to contact PayPal directly to clear the credit account balance outstanding. Courses remain non-refundable. Any course cancellation agreed at our discretion would be applied as credit on file minus a 15% admin fee, to rebook alternative courses within 6 months of your original payment date.

Klarna

In cooperation with Klarna Bank AB (publ), Sveavägen 46, 111 34 Stockholm, Sweden, we offer you the following payment options. Payment is to be made to Klarna:

Your personal data is handled in accordance with applicable data protection law and in accordance with the information in Klarna’s privacy statement. Klarna is only available on course bookings totaling over £79 and excludes kits and gift vouchers.

Additional terms for course packages / promotions

  • Any saving stated is calculated based on booking included courses at the individual, full course cost or against the usual full package course fee.
  • Courses within the Packages must be attended by the same person.
  • Dates must be selected at time of booking. Training dates are subject to availability at preferred training centre & places are not confirmed until your booking has been processed by our team. All training booked as part of a package must be taken within 6 months of date of booking the package.

VAT receipts & invoices

Payments should be made at time of booking via our website. If you are working with a charitable / funding organisation and seeking to make payment on behalf of a student via BACs, please contact our team at [email protected] to request an invoice including details of the payer, any purchase order number to be included and courses / kits required.

Should a business receipt be required for your booking, please request this by emailing [email protected] at the time of booking or within 6 months of completing the training. Beyond this time, receipts cannot be issued and only VAT invoices will be issued on request to VAT registered business customers to meet legal requirements.

Rescheduling Requests & Fees

Should you be unable to attend your booked training date(s), we may be able to reschedule your training (subject to availability and at the discretion of The Beauty Academy). We ask you to contact us at [email protected] to discuss this, at the earliest opportunity.

  • Where possible to provide an alternative course date, we will release your reserved training place and it is your responsibility to rebook a further date. Note any reschedules agreed will be subject to a rescheduling fee of £50 per day.
  • Where reschedule is not possible and the student chooses not to attend their training, you may forfeit your course fee.
  • We operate a ‘fair use’ policy for rescheduling and all courses can only be rescheduled on one occasion.
  • Where a student is a ‘no show’ (failing to attend for their booked training date without 48 hours’ notice in writing to request reschedule), you may automatically forfeit your course fee and The Beauty Academy will be under no obligation to provide any further training or any refund (unless for medical emergency or compassionate reason).

Exemptions from the rescheduling fee

A rescheduling fee of £50 per day will be required to rebook an alternative training date, where reschedule is possible and agreed at the discretion of The Beauty Academy. We will waive the rescheduling fee only in the event of:

  • medical reasons (with proof of medical appointment or letter from a GP / consultant covering the named student for the date(s) of the training to be rescheduled).
  • positive COVID test result (with photo of your positive COVID lateral flow test, including your name and date of the test written upon the test stick to validate).
  • compassionate reasons such as close family bereavement (appropriate proof of which may be required).

Postponement of training by The Beauty Academy

In the event a course is cancelled or postponed for reasons beyond our reasonable control, we will endeavour to provide at least 24 hours’ notice wherever possible, with notification by SMS text and email. In such case, an alternative date will be provided. A code will be provided to rebook training via our website and it is the student’s responsibility to ensure they do so. Such courses remain non-refundable but may otherwise be transferred to alternative courses if desired, to the same value. The Academy is not responsible for any loss of income or accommodation / travel costs incurred in the event that postponement of training courses is necessary.

Change of course

Courses are non-transferable and non-refundable. Should you book the incorrect course for your needs or make an error with your booking, we will honour a change to a different course, subject to an admin fee of £50 per course / day required to be changed. No course price difference will be refunded, where applicable. Any additional course fee due will need to be paid at time of the course change.

Change of named student

Courses are non-transferable and non-refundable. Should you need to change the student attending from that named in the booking, this can be processed subject to an admin fee of £50 per change required. This must be requested by email to [email protected] no later than 48 hours before the course date.

Retirement of courses

We reserve the right to make changes to course(s) / packages at any time, without notice. Should you fail to attend your original training date(s) for any reason and the course is later retired or amended in content, no refund or difference in courses fees will be offered. You may however, use any course fee credit on file towards payment for an alternative course of your choosing within 6 months of the original date of booking.

Rescheduling ‘last minute offer’ bookings

Courses booked as part of discounted ‘last minute offers’ will be strictly non-refundable and non-transferable. These are discounted specifically for attendance on the booked course/date/venue by their very nature and so this price does not transfer to other courses. If you need to reschedule for a genuine reason (medical or compassionate), we may at our discretion, place the course fee paid minus a rescheduling fee, as credit on file valid for 6 months towards booking courses. Any applicable price difference would need to be paid when redeeming the credit on file to book further courses.

Confirmation of ‘last minute offer’ bookings

Last minute offers are listed on a first come, first served basis on our website; usually with limited training places available. If booking these on our website with less than 24 hours’ notice of the scheduled course date, note a place is not guaranteed as our website does not operate on ‘live availability’. We recommend contacting us on Live Chat or to email [email protected] at 9.00am on the day of the course to confirm your booking has been received and chosen training is available (unless you’ve already had a full confirmation email from us to verify this). Where a last minute offer course is booked and place is unavailable, we will reschedule your training to the next available date where possible or refund your course fee. No reimbursement can made for any costs incurred for cancelled / unavailable courses booked online at last minute.

Gift vouchers are valid for 6 months from date of payment. Gift vouchers are non-refundable and have no cash value. Once expired, the value paid is forfeit. Any ‘change’ from redeeming a voucher will be applied as credit on file towards further training to be taken within the 6 month voucher validity period.

Vouchers can be redeemed by emailing [email protected] and giving the name of the person who booked the voucher, along with the course(s) required. Our team will then contact you to take any further payment required & confirm your courses.

Age requirements

Classroom courses are open to those aged 16 years or over. Online courses are open to all with no age requirements.

English language skills

Courses are taught in English. Students must have a good command of spoken and written English to be successful on our courses. This ensures you can learn the required skills fully, but also so we can assess your competence to achieve your certificate. If you have any concerns about this, please contact us prior to booking to ensure course(s) will meet your individual needs. Failure to advise of any concerns prior to attending courses, may result in forfeit of fees as this can lead to delays or disruption on the training day.

Medical conditions

Please notify us of any medical conditions / current medications that may affect your ability to fully participate in practical training, prior to booking. This allows us to ensure the course will be suitable for your individual needs. This will be handled in the strictest confidence. An important part of training is the ability to deliver and receive treatments, which some conditions may impede or have safety implications.  Adjustments will be made to accommodate medical conditions where possible and practical. A medical certificate may be required in line with our insurance obligations. Where students are unable to receive treatments for medical reasons, a female model may be requested to be provided by the student for each training day.

Failure to disclose known medical conditions at the time of booking or to provide a female model where requested, which later prevent participation in a particular course may result in forfeit of course fees.

Pregnancy

For health & safety / insurance obligations, students within the first 12 weeks and beyond 32 weeks of pregnancy, or anyone considered high risk in pregnancy may be unable to participate in practical aspects of training. The exception to this would be training courses where you are working on a training hand or head e.g. nail courses, lash extension courses etc. Where possible to attend, you may be required to bring a female model to your training to practice upon, please contact us prior to booking to check suitability.

Special educational / learning needs

Our classroom based training is delivered on a fast track, intensive basis. We operate an inclusive, welcoming learning environment for all. Should you have concerns about suitability of a training course for your individual needs, please contact us prior to booking to discuss. For those students who require additional time or support for learning, they may benefit more fully from our online courses which can be studied over a longer time period and with no attendance of our centres required, making learning convenient and flexible.

Online course study

Upon payment, you’ll receive an automated email with an option for instant course access via self sign-up. A full confirmation email will be sent within 24 working hours of payment, with full welcome details. We recommend accessing the portal at the earliest opportunity to download all ‘additional references’ for your course such as the practical pack for your case studies.

When you first login to the portal you will be asked to check the details we have for you. Please amend any errors but also email our team so we can update our central system. You will also be presented with terms and conditions around use of the online portal and the ‘cooling off’ period if applicable to your booking.

Students are responsible for keeping their login details secure and private.

Students must also ensure they have suitable access to the internet and hardware (pc, mobile phone, tablet etc.) in order to access and complete their course. No refunds can be issued due to failure to ensure this before booking. Any issues with gaining access should be reported to our Support team to ensure you are able to access and complete your course within your enrolment period.

Online courses require completion of theory tests and some case studies at home (for which you will need to work on friends/family and have access to basic products at home). Theory tests are completed through the online portal to check your understanding. A pass mark of 70% or above is required for each test but these can be retaken online for free and as many times as needed until you pass. Case studies can be submitted by email to [email protected]

Case studies will be evaluated by our Assessor to ensure practical competence. You will receive feedback and/or your certificate by email within 10 working days of submission.

Online course support

You can reach our team at [email protected] at any time throughout your studies. Should you have any difficulties accessing the portal or completing your course, please contact our team at the earliest opportunity so we can provide assistance within your enrolment period.

Online course re-enrolment

Students have 12 weeks access to the online student portal / online resources from date of payment. Beyond this, students have up to 12 months from date of payment to practice their skills and submit the evidence for the 3 case study treatments required per online course by email to [email protected]

Should further access to the online course resources be required via the portal, beyond the initial 12 weeks and still within 12 months of initial course booking – this can be purchased at a cost of £25 per course, per additional 30 days access required. Outside of your 12 month period, you would need to rebook the course at the full course fee.

Online course refunds / changes

All online courses are strictly non-refundable as we incur a registration fee for the online student portal for all online courses which we remain liable to cover regardless of whether the course is accessed and/or completed.

Please ensure online courses meet your individual needs, you have a suitable device connected to the internet through which to access the course/portal and are able to source the products/tools/models you require to complete the necessary case studies to pass the course.

We may agree transfer to an alternative course to the same value where a course is found to be unsuitable for an individual student, at our discretion, although this may incur a registration fee.

Upgrade to classroom (face to face) training

Many students learn successfully via our online learning, however you may decide you would prefer to learn face to face. Where an equivalent classroom course is available for the online course you have booked, we may agree an upgrade to classroom training. We will offset your online course fee against the classroom course fee. This price difference will need to be paid at time of course upgrade to allow us to confirm a training place for you.

Arrival for courses

Courses start at 10.00am and finish at approximately 4.00pm (unless otherwise stated on the course webpage / your confirmation email). Please arrive at the centre for 9.45am to ensure a prompt start. A short break is given for lunch (please bring cold food with you). Late arrival on the day or returning from lunch may result in refused course entry. This avoids disruption for other learners and ensures you cover all necessary course content to achieve your course diploma.

If you arrive late and need to reschedule, please email [email protected] – note a fee of £50 will apply to reschedule the training day. Returning late from breaks or leaving prior to the full course finish time may result in failing to achieve your diploma and forfeit of course fees.

To ensure you arrive promptly, we recommend use of Google maps or What3words to locate the centre prior to the training day to help plan your journey. These details can be found on the relevant course centre webpage. The Wayz app is also beneficial if travelling by car. Our centres in city locations so limited parking, use of public transport is recommended where possible.

Pre-course information

You will receive a confirmation email within 24 hours of payment. This will confirm your booked training place and provide details to prepare for the training day. Also attached are course notes and a pre-course worksheet that it is advisable to read before attending so you can get the most from your training day. There is no requirement to print these resources. If you cannot locate your confirmation email, do check junk / spam mail before contacting [email protected] so we can resend.

What to bring

Students should bring cold food (salad / sandwich for lunch). Your confirmation email will confirm what to bring for your specific course but this is typically only a bath and/or hand towel for your personal use during training. You may like to bring a note pad and pen for any brief notes on the day. Products for use on the day are provided at the centre so you won’t need to purchase any kits. For courses requiring a pre-course patch test, a patch test kit will be posted to your home address for use prior to the course and this should also be brought with you on the training day.

What to wear

If you have a beauty tunic, you are welcome to wear this. Otherwise, smart casual clothing (e.g., shirt or t-shirt and leggings or trousers) that allows you to be comfortable during training is acceptable. Shoes must be closed toe / heel, with flat sole for safety – so no flip flop, sandals, or high heels.

We recommend removing all jewellery (beyond one pair of studs and wedding band, as applicable) where possible for your training day, and to leave all unnecessary valuables at home. Long hair should be tied up and secured away from the face. For some courses you will need to remove nail extensions / gel polish and/or lash extensions to allow you to work with other students, giving and receiving treatments on the day; as advised in the course booking confirmation email / course webpage.

For VTCT assessment days only, you will need to wear beauty uniform (tunic of any colour, smart trousers and closed toe/heel shoes). You can view more information on VTCT practical assessment days here

During your training you will usually be required to give and receive treatments.

The only exceptions to this are the nail extension courses where you will be working on a professional nail trainer hand, and lash extension courses where you will be working on a professional mannequin training head.

Please note courses may be mixed sex groups. We have portable privacy screens at our centres for use when students are changing between treatments to ensure your comfort. Male students are required to provide a female model for waxing courses. If you have personal or religious reasons where you require training in a same sex environment only, please contact us to discuss this prior to booking.

Waxing Courses

You must be prepared to give and receive waxing treatments to allow all students equal opportunity to practice. Those attending having recently undertaken shaving of areas to be worked on or who are unwilling to receive treatment, will not be able to participate resulting in loss of course fee. Male students must provide a suitable female model to practice upon due to the physical nature of these treatments.

Manicure & Pedicure, Gel Polish & Builder Gel in a Bottle Courses

Please ensure any nail extensions or enhancements such as gel polish are removed prior to attending training, as you will give and receive treatments working on the natural nails. Failure to remove such before the training day may result in being unable to participate within the course and a rescheduling fee being applicable.

Highly Defined Brows, Brow Shaping & Tinting, Brow Lamination and Lash Lift Courses

Prior to training for this course you will be required to complete a patch test for the products used in these treatments at least 24 hours before your course commences. A patch test will be sent to your home address prior to the course to allow you to patch test. Please also bring these products on the training day for your use. Those booking at last minute (too late for patch test), or who are sensitive to the patch test will use training products on the day which are safe and do not yield a treatment result, but allow practice of the treatment techniques.

Please ensure eyelash extensions have been removed prior to any training involving eyelash tinting or lash lift.

Lash Extension Courses

You will work on a professional training head so do not need to patch test with any products prior to the course, nor remove any eyelash extensions you may already have applied.

Facial Massage & Skincare, Electrical Facials & Microdermabrasion Courses

You will give and receive skincare treatments as part of these courses working paired with other students. You must ensure lash extensions are removed prior to the course(s). You will need to remove your make up (as applicable) as part of receiving treatments.

You must notify us of any medical conditions / medications which may prevent you receiving facial treatments. Those receiving certain treatments for acne (such as roaccutane) or who have undergone cosmetic procedures to include surgery, dermal fillers of any kind or semi-permanent make-up / facial tattooing or micro-blading within the last 12 weeks will be unable to participate within these courses. Certain medical conditions such as heart conditions will affect ability to receive electrical facials. Failure to disclose these treatments prior to booking your course(s) may result in loss of course fees.

If taking Facials / Electrical Facials training with specific intention to progress to Level 4 Aesthetics, please note it is the responsibility of the learner to check with both their chosen further training provider and insurance company that this qualification meets their requirements.  We offer VTCT courses at both Level 2 & 3 which may be more suitable for your needs. Please discuss with our team prior to booking if you have any questions or concerns.

Photography / recording of training

Photography / recording of training (both audio or video) is strictly prohibited while in attendance of our centres. This is to protect the privacy of all students, avoid disruption during training and meet GDPR data protection obligations. Tutors may occasionally request permission to briefly take photos or short video clips of the course set up or student work for company marketing / promotional purposes. Simply let the tutor know if you’d like to opt out of this.

Comprehensive course notes are provided with your confirmation email and our support team can help with any questions after your training as required. For those with additional learning needs, we may provide access to our equivalent online course resources via our student portal, to further support your learning if the tutor on the day feels this is required. This means recording of training sessions is never required.

Diploma certificates

Within 2 working days of attending your course successfully, our team will email over your course diploma. Certificates are provided as a digital certificate to meet the needs of insurers and reduce our carbon footprint. Do check your spam / junk mail if you cannot locate your certificate email in this time. Students are responsible for emailing our team within 30 days of your course at [email protected] should you fail to receive your certificate or if there is an error in the name upon your certificate so we can reissue free of charge. Beyond this time, our replacement certificate policy will apply.

Replacement certificates

  • Replacement of certificate(s) by email only (pdf) is charged at £10 per certificate. Available 30 days after training, for up to 5 years after training.
  • Reissuing of certificate(s) due to change of name is charged at £25 per certificate. Available for up to 5 years after training. Proof of name change required.
  • Printing of original pdf certificate to provide ‘hard copy’ via email is charged at £25 per certificate. Available 30 days after training, for up to 5 years after training.

Due to GDPR regulations on how long we can retain customer data, we can only reissue certificates for up to 5 years following training. Outside of this time, we’d recommend students contact their insurance provider to see if they hold any copies on file or for you to complete ‘refresher’ training to update your skills and gain new certification via our day courses or online training.

Replacement certificates should be requested via email to [email protected] so the link for payment can be provided. Certificates will be sent within 5 working days of payment being received.

Refresher Training

We recommend students put their skills into action at the earliest opportunity following completion of the course(s). Should you be wishing to resume your beauty career after a break in offering treatments, we’d recommend revisiting the course notes provided with booking confirmation for classroom training. Our support team are happy to answer any questions you may have also. If you feel you require further training, this can be booked as day courses or online training to update your skills. We have packages so do get in touch to help you book the best option for you.

Once booked, you have 12 months to fully complete the qualification including training, coursework and assessments from the date of booking. You would be unable to complete or resume any studies, outside of this period. All course fees are non-refundable and remain applicable even in the event that you do not achieve the qualification.

It is important students keep their knowledge and practical skills up to date by refreshing their knowledge using their training notes and continuing to practice their treatments ready for assessment days. Students have access to our Online Student Portal where they can access learning resources including e-manuals and training videos on the treatment skills. Additional fees will apply should you require further training at a later stage, beyond your initial training days. You should ensure you revise and prepare thoroughly ready for assessments using the learning resources provided to you.

Qualification Programme Structure

All training should be completed as soon as possible, but within 6 months of date of booking to ensure best opportunity to complete the award. Written modules (coursework) should be submitted by email to [email protected] only once fully completed and ideally within 6-12 weeks of booking on to the programme. The portfolio of treatments should be submitted ideally within 20 weeks of booking onto the programme to ensure you are working to develop confidence & competence as soon as possible following training. The portfolio of treatments is required to demonstrate you have taken time to develop your confidence within your practical skills, to meet the required level to achieve the assessment standards. You will need to source models (or purchase insurance to work with paying clients) to complete the portfolio, along with access to products/tools at home to practice. All students must aim to arrange and attend assessments as soon as possible after submitting their portfolio, once notified they are ready to do so.

Please note portfolios will only be retained for 20 weeks from submission and after which time will be disposed of through confidential waste, unless you progress to assessment. Failure to arrange and attend assessments promptly, will require additional treatments to be submitted to update your portfolio so that we can demonstrate you are continuing to maintain practice and treatment competence.

Written exams are completed online from home on a scheduled, agreed date. Students will require access to their own pc or laptop with webcam (or access to a mobile device with camera, alongside their pc/laptop) with stable, high speed internet connection in order to complete the VTCT written exams. You must pass the written exams before practical assessment days can be booked.

Practical Assessments are available at selected centres, on scheduled dates each month. Students will need their own product/tools and female models to complete each day of practical assessment. The Beauty Academy will support you with your studies however cannot accept responsibility for learners who fail to complete their qualification(s). Students are responsible for all costs in completing and submitting required work to achieve qualifications.

Assessments

VTCT Written exams are now completed online from home using student’s own pc/laptop through Zoom and the VTCT exam website. Students will need a stable, high speed internet connection to complete their written examinations. Online written exams will be scheduled for a full day 10.30am – 4.30pm. You must achieve 70% or above on every exam paper to pass. We recommend students take time to revise thoroughly using the extensive learning resources on the online student portal (including study guides and course notes) to be best prepared for exams. If you do not achieve 70% on all papers, you need retake only those exam papers where the minimum 70% pass mark was not met. On attempts 1-3, you will sit Paper A (so the same exact paper for first 3 attempts) which some students gives reassurance as you can focus your revision better on those aspects found more difficult. After that, you will sit an alternative paper, Paper B. Once written exams are passed, you will be offered practical assessment dates. Exam resits are scheduled as a half day (3 hour) session, where a maximum of 3 papers can be taken per session.

Practical assessment days for VTCT are offered at our London Kings Cross, Cambridge, Birmingham and Manchester Training Centres only. You will be given a schedule of treatments for each day required and need to bring along your own female model(s) plus products and tools to complete those set treatments. The Beauty Academy will provide any larger equipment required e.g. treatment couch, wax heaters etc. Due to Covid-secure measures, to minimise number of attendees, with regret no surplus persons will be available at the centre to act as student’s model(s). Due to GDPR, we are unable to provide any lists of contacts for potential models, students must take steps to source these before booking their assessments.

Assessment Fees:

With every enrolment, we include 1 initial online written exam day and 1-2 initial practical assessment day(s) as required for the relevant VTCT course, as standard within your course fee.

Should you need to retake your online written exams, the following fees will apply:

On 2nd / 3rd exam attempt (resit):

£25 per paper. (3 papers max. per 3 hour resit session).

On 4th – 6th attempts (Paper B resits):

£50 per paper. (3 papers max. per 3 hour resit session).

Should you need to reschedule your online exam session or practical assessment day(s) due to cancellation, lateness or no-show:

£120 per session/day required.

The fee to reschedule can only be waived in the event of medical emergency of the named student only; where a medical certificate would be required. All learners are required to arrange their own suitable female models for each day of practical assessment and provide their own products/tools to attend practical assessment days. The Beauty Academy can accept no responsibility for learners who are unable to arrange such, to achieve their qualification.

Qualification Certificates

Your Qualification certificate will be claimed from the awarding body (VTCT) only once you have successfully completed your final day of practical assessment and have been confirmed as fully complete. Certificates can take up to 12 weeks to be issued by the awarding body. Once received, you will be notified and asked to confirm the full address where you wish your certificate to be posted. Certificates are sent by 1st class recorded post so must be signed for upon delivery. Qualification certificates can only be issued in the name given at the time of submitting your Assessment Request Form when booking onto your assessment days. A fee will apply to rectify any errors beyond submission of the Assessment Request Form. Replacement certificates are chargeable and can only be ordered by contacting the Awarding Body directly after 30 days have passed since receiving your certificate from The Beauty Academy.

  • Portfolios

Portfolios submitted towards assessment will be retained on file for an initial period of 6 months pending progression to assessment days. Where the student fails to progress to assessment as soon as possible after submitting their portfolio (and therefore where the portfolio is no longer valid evidence, as treatments within it date back to more than 20 weeks prior), we reserve the right to dispose of the portfolio through confidential waste collection without further notification. This is unless the student contacts us to request & make payment for its return within 5 months of its submission.

For students who progress to and complete assessment, portfolios must be retained awaiting internal verification by the awarding body as required and periodic external verification visits (where portfolios are sampled), which can take up to 12 months. Once released, it will be disposed through confidential waste without further contact. The only exception to this is where request for portfolio return is made within 5 months of the portfolio submission, with payment made of £25 to cover courier cost. Such portfolios will be sent to the last address we have on file for you. If your address changes, please ensure you update us as soon as possible as we can accept no responsibility for loss of portfolios returned to students in the post.

Starter kits

For classroom training, we provide all products / tools required for use on the training day(s).

For online courses you will need products / tools at home to practice your treatments.

Selected kits are available to order via our website which are sent direct from our third party supplier within 3-5 working days. These offer a convenient way to get started with your treatments. Our courses are not brand-specific. We recommend suppliers such as Salon Services for purchase of beauty products once ready to establish your beauty business.

Discount cards

Many suppliers offer options to obtain a wholesale / trade or similar card or account for discounts. We have no control over the requirements for eligibility to such schemes. Most will accept your course certificates along with proof of your public liability (beauty) insurance to demonstrate you are a professional working in the industry.

Insurance / licensing

Before you commence offering treatments to paying clients (general public), we would recommend obtaining public liability (beauty treatments) insurance. This will offer protection in the event of a claim against you for an accident, injury or damage. We recommend the following insurers: Balens, ABT, Radius or Insync.

If working self-employed in the UK, you must also ensure you register with HMRC regarding any tax/national insurance applicable to any income earned on this basis. If intending to run a business from within your home, you must check your mortgage / deeds / tenancy to ensure there are no clauses to this. You may also need to enquire with your local council if seeking to change use of an area of your home or to open business premises to check their requirements and if any special treatments local authority licensing is applicable. We recommend checking these factors prior to booking to enable you to make suitable plans for your new career.

To ensure all learners are given the best opportunity to learn, we would ask the following code of conduct is adhered to by all students, at all times:-

  • Punctuality is essential to ensure you get the most from your course and avoid disruption to avoid learners. Please arrive for 9.45am and be prepared to remain at the centre until approximately 4.00pm. Allow adequate time for travel to the centre. Return promptly from agreed breaks and avoid leaving the training room outside of these breaks.
  • Learners should arrive prepared for training – correctly attired and with all necessary items i.e. clean towels. Lashes / nails should be removed as appropriate for the course.
  • Learners should participate fully in training, to include all practical aspects of giving and receiving treatments. Any exceptions (e.g. medical reasons) must be agreed at the time of booking and a suitable female model may be required to be provided by the student in order to participate.
  • Our training centres operate a mixed sex basis for training days and you must be prepared to give and receive treatments from students of the opposite sex. If there are any reasons of belief, faith or religion which prohibit this, please advise before booking. Male students will be required to provide a female model for waxing courses.
  • Ensure an enrolment form is handed to the tutor on or request a blank copy on arrival. Notify the tutor (in confidence as preferred) of any medical conditions or learning difficulties which may impact your learning (as previously discussed at the time of booking to ensure suitability for the training). This allows the tutor to best support you throughout training and make any adjustments possible to assist you to gain the most from your course.
  • We accept no responsibility for any loss, damage or theft of personal property; however rare. Therefore we encourage students to leave all unnecessary valuables at home, remain vigilant to their belongings during training and take all property with them when leaving the centre. Any property left behind will be held for 7 days, following which it will be disposed as appropriate. Students are responsible for arranging collection of lost items from site, by appointment. We cannot post or deliver any lost property.
  • Products / tools provided at the training centre remain the property of The Beauty Academy and cannot be taken from the training centre at any time. Such will be treated as theft and reported to the police. Please work with the tools / products and within the facilities provided, taking care to avoid causing deliberate damage or loss. Students may be held responsible for the cost of such loss / damage. Please wait until items are provided to you. At no time should students access any staff only store cupboards or storage areas. For reasons of health, safety and hygiene; please use products / tools / equipment only as directed and when prompted by the tutor. If asked to ‘down tools’, please ensure you comply with any instruction by ceasing immediately.
  • Use of mobile phones is prohibited during training and should be turned off outside of agreed breaks.
  • No use of e-cigarettes/vapes, smoking or chewing of gum within the training centre is permitted.
  • Learners must not consume or be under the influence of alcohol or drugs at any time during attendance of the training or assessment day(s). You may be asked to leave the centre where we have reason to suspect such influence, and the police may be contacted if appropriate.
  • Be courteous and respectful to tutors and other learners. No use of foul language. Abuse of any kind including racism will not be tolerated. Please avoid discussion of any sensitive or unrelated topics during the training which may distract other students or at any time, which may cause offence to others. While we operate a welcoming, friendly atmosphere on training days, student conduct should reflect that which would be expected by a beauty professional working within a salon environment since you are undertaking a professional skills course. Please ensure you work cooperatively and respectfully with all and take feedback / guidance seriously to allow you to acquire and demonstrate the required level of competence upon the training course(s). We appreciate learning new skills can sometimes be challenging but outbursts or disruptive behaviour (which may affect other students) will not be tolerated. Tutors will support you as best possible so please work with our staff to assist you, trusting in their professional knowledge and experience.
  • Verbal, physical or written abuse will not be tolerated at any time and will result an immediate verbal warning from the tutor. Should the conduct continue, you will be asked to leave the training immediately. You will not receive your diploma and will forfeit all course fees paid.
  • Should an issue arise on your training day in relation to other learners on the course or if you are experiencing difficulties with the course, please immediately notify your tutor so action can be taken or advice given to support you as required as it is sometimes difficult to rectify issues later. This will allow you to get the most from your training day experience. Any issues will be handled in the strictest confidence but will not be permitted as grounds for any refund of course fees or for additional training, where this is not raised on the training day to enable remedy.
  • Photographic ID must be shown to the tutor at every training day to gain admission to the centre, if requested. Entry may be refused without this.
  • Students must not take any photographs or make any recordings (audio or video) of any kind while in attendance of training and/or when within the training centre premises.

We are keen to ensure all students gain the most from their training experience.

In the first instance, please raise any difficulties or concerns with the tutor on the training day(s) as most issues can quickly be rectified at the time.

However, in the unlikely event your training course with us does not meet your expectations and you feel unable to raise this with the tutor on the training day, please email [email protected] with the details of your feedback or complaint. This email must be received in writing within 5 days of your training course.

We take all feedback and complaints very seriously and this will be investigated by our Regional Training Centre Manager as required. You will receive a response in writing within 5 working days.
